CE Policies

CE Policies & Participant Information

Create one permanent page titled “CE Policies & Participant Information.” This page should be easy to read on desktop and mobile. The designer may use clearly labeled sections or accordion/drop-down panels, but the wording below must remain intact.

Website Page Introduction

Never Journey Alone Continuing Education is committed to providing high-quality, ethical, accessible, and professionally appropriate continuing education experiences. The policies below explain participant responsibilities, attendance and course-completion requirements, refunds and cancellations, accessibility accommodations, certificate issuance, and the process for submitting a concern, complaint, or grievance. Participants are encouraged to review these policies before registering for a continuing education activity.

Attendance & Continuing Education Credit Requirements – Use Exact Wording

Participants must attend the full educational activity and complete all required course-completion requirements to receive continuing education credit. No partial credit will be awarded. Attendance will be monitored and verified by Never Journey Alone, LLC using the attendance-verification method appropriate to the course delivery format.

For in-person courses, participants must sign in upon arrival and sign out at the conclusion of the course. For interactive, synchronous distance courses, attendance may be verified through the virtual platform attendance record, required participation activities, attendance checks, and/or other methods communicated in the course materials.

Participants are responsible for arriving or logging in on time, remaining present for the full educational activity, participating in required learning activities, and completing the required course evaluation and any other published course-completion requirements.

Course Completion Requirements

To receive continuing education credit, participants must satisfy all published course-completion requirements. These requirements may include full attendance, participation in required activities, completion of attendance verification procedures, and completion of the required course evaluation. Course-specific completion requirements will also be stated on the individual workshop page and participant materials.

Participant Cancellation & Refund Policy

A full refund is available when a participant cancellation is received at least seven (7) calendar days before the scheduled course. No refunds will be issued for participant cancellations received less than seven (7) calendar days before the course.

Refund requests that fall outside the published policy may be reviewed individually by the CE Director or designee. The review may consider the circumstances, supporting documentation, services already delivered, and applicable organizational policies. Possible outcomes may include denial, course credit, transfer or reassignment, partial refund, or full refund.

Provider Cancellation or Rescheduling

If Never Journey Alone, LLC cancels a continuing education course, registered participants will be offered a full refund or the option to transfer their registration to another eligible course. If a course is rescheduled, registered participants will be notified and provided with available registration options.

Accessibility & Accommodation Requests

Never Journey Alone, LLC is committed to providing an accessible and inclusive learning experience. Participants who require accommodations due to a disability should contact Never Journey Alone Continuing Education at least fourteen (14) days prior to the course so that reasonable arrangements can be made. Requests received with less notice will be reviewed, and reasonable efforts will be made to provide accommodations when possible.

Course Evaluation & Certificate Issuance

Participants must complete all published course requirements, including the required course evaluation, before continuing education credit can be awarded. Certificates will be issued electronically after Never Journey Alone Continuing Education verifies attendance and completion of all applicable course requirements.

Participants who have satisfied all course-completion requirements but have not received their certificate, or who identify an error on a certificate, should contact Never Journey Alone Continuing Education. Attendance, evaluation completion, and other applicable requirements will be verified. Once eligibility is confirmed, a missing or corrected certificate will be issued as promptly as reasonably possible.

Grievance & Complaint Resolution Policy

Never Journey Alone Continuing Education is committed to providing high-quality, ethical, accessible, and professionally appropriate continuing education (CE) experiences. This grievance policy establishes how course participants may voice concerns, complaints, and grievances; how those matters will be reviewed and resolved; and how feedback will be used to improve future CE programming. Open communication is encouraged, and participants may raise good-faith concerns without retaliation.

Types of Complaints

  • Course content, including accuracy, relevance, currency, appropriateness, educational quality, or evidence base.
  • Instructors, speakers, presenters, or facilitators, including conduct, professionalism, responsiveness, or instructional effectiveness.
  • Course delivery, including synchronous distance-learning delivery, technology, interactivity, administration, or implementation.
  • Level of presentation, including whether the material is presented at an appropriate level for the identified target audience.
  • Non-receipt, delay, or errors involving CE certificates or certificates of completion.
  • Facilities or learning environment, including accessibility, safety, comfort, suitability, or virtual learning environment concerns.
  • Registration, attendance documentation, CE credit, cancellation, rescheduling, or administrative processes.
  • Refund requests or disputes concerning course fees.
  • Accessibility accommodations.
  • Other miscellaneous concerns related to a CE activity provided by Never Journey Alone Continuing Education.

Possible Remedies

The remedy will depend on the nature and circumstances of the grievance. A remedy is not guaranteed solely because a grievance is submitted. When appropriate, Never Journey Alone Continuing Education may offer one or more of the following:

  • Reassignment or transfer to another eligible workshop or CE course.
  • Credit toward a future workshop or CE course.
  • A partial refund.
  • A full refund.
  • Correction or reissuance of a CE certificate.
  • Administrative or instructional corrective action.
  • Another reasonable remedy appropriate to the circumstances.

How to Submit a Formal Grievance

Formal complaints must be submitted in writing by email or mail. The complaint should include the participant’s name and contact information (unless an anonymous instructor complaint is submitted), course title and date, a description of the concern, relevant supporting information or documentation, and the requested resolution when applicable.

Anonymous Complaints

Complaints regarding an instructor, speaker, presenter, or facilitator may be submitted anonymously. Anonymous complaints will be reviewed to the extent reasonably possible based on the information provided. Because no contact information may be available, Never Journey Alone Continuing Education may be unable to provide a direct acknowledgment or written decision to an anonymous complainant.

Acknowledgment, Review & Resolution

For non-anonymous complaints, written acknowledgment of the grievance will be provided within five (5) business days of receipt.

The CE Director or an appropriate designee will review the grievance, obtain additional information when necessary, consult relevant policies and records, and determine an appropriate response. When the grievance concerns the CE Director or another individual who would ordinarily review the matter, it will be assigned to another qualified individual who does not have a conflict of interest.

A qualified social work consultant will be involved in the review of grievances concerning course content, instructors/speakers, and course delivery when the grievance relates to CE programming for social workers. The consultant may review relevant instructional materials, learning objectives, references, participant evaluations, instructor information, delivery procedures, and applicable professional standards.

For non-anonymous complaints, Never Journey Alone Continuing Education will provide a written decision within thirty (30) calendar days of receipt of the complaint whenever reasonably possible. If additional time or information is necessary, the participant will be informed of the status of the review and the anticipated timeframe for completion.

Further Action

If a participant is dissatisfied with Never Journey Alone Continuing Education’s decision, the participant may report the grievance to the applicable continuing education accrediting or approval entity and/or the participant’s professional licensing board, as appropriate. Such external reporting does not alter or automatically reverse Never Journey Alone Continuing Education’s initial grievance decision.

Confidentiality & Non-Retaliation

Grievances will be handled professionally. Information will be shared only with individuals reasonably necessary to investigate, evaluate, and resolve the matter, subject to legal, regulatory, or accreditation requirements. No participant will be penalized or denied appropriate CE services solely because the participant submitted a good-faith grievance.

Documentation & Continuous Improvement

Never Journey Alone Continuing Education will maintain appropriate documentation of formal grievances, including the nature of the complaint, date received, individuals involved in review, information considered, response provided, resolution or corrective action, and date the matter was closed. Complaint and grievance information will be reviewed as part of the CE program’s quality-improvement process. Patterns, recurring concerns, and participant feedback may result in changes to administrative procedures, course content, instructional delivery, instructor development, accessibility practices, participant communication, facilities, technology, or other CE operations.

Licensing Board / Credit Acceptance Notice

Regulatory boards are the final authority on courses accepted for continuing education credit. Participants are responsible for determining whether a course meets the continuing education requirements of their licensing jurisdiction and professional credential.

7. Registration Form Policy Acknowledgment

Add a required checkbox before payment with the following exact wording:

I acknowledge that I have reviewed and agree to the Never Journey Alone Continuing Education Policies & Participant Information, including attendance and course-completion requirements, refund/cancellation policies, accessibility information, certificate requirements, and the grievance/complaint process.

The checkbox must be required before the participant can complete registration.

8. Required Links to the CE Policies Page

  • Continuing Education landing page – include a CE POLICIES & PARTICIPANT INFORMATION link.
  • Every individual workshop page – include a VIEW CE POLICIES button.
  • Registration/checkout page – include a visible policy link beside the required acknowledgment checkbox.
  • Registration confirmation page/email – include a link back to the CE Policies & Participant Information page.
  • Website footer within the Continuing Education section – include a CE Policies link when technically feasible.

9. ACE Compliance / Website Content Controls

  • Use ACE Provider #2952.
  • Use ACE approval period 08/12/2026-08/12/2027.
  • Use only the current approved ACE provider language contained in this document.
  • Use only ACE Provider #2952; do not publish placeholder or fictitious provider information.
  • Do not alter approved course titles, learning objectives, credit totals, credit types, or delivery formats when course pages are supplied.
  • Courses may only be promoted in delivery formats applicable to the approved course offering.
  • Retain the statement that regulatory boards are the final authority on acceptance of continuing education credit.
  • If website copy conflicts with finalized Never Journey Alone CE documentation, pause publication and request clarification.

10. Designer Implementation Notes

  • Use clear headings and sufficient spacing so policies are easy to scan.
  • Accordion/drop-down sections are acceptable for the policy page, but policy text must remain searchable, selectable, and readable.
  • Do not place critical policies only inside images or graphics.
  • Make the CE Policies page mobile responsive.
  • Use a consistent “View CE Policies” button style across all workshop pages.
  • Keep policy text editable in the website CMS so Never Journey Alone can revise policies when standards or organizational procedures change.
  • Do not create additional policy language without written direction from Never Journey Alone, LLC.
